Memos and Binders

To keep track of teams’ progress and to encourage good organization skills within each team, we required that all teams submit monthly memos. In addition, each team were to keep a binder of all materials to be handed in on the competition day.
A memo is a short periodic report, often based on meetings, that summarizes what has been accomplished, where the project stands now, and what the next prospective steps are. All memos for the S.Y.nergy Challenge 2007 were to follow the memo format found here. An actual example of a properly formatted memo can be found here (information corresponds to a different project).
Memos must be submitted monthly, on the first of every month so we may keep track of team progress. More importantly, though, memos are often a key component of such a long-term group project; it allows all design members to stay focused, set clear goals, and better foresee their timeline. Additional memos were permitted and encouraged. Memos were to be submitted to the S.Y.nergy email account at synergy.challenge@gmail.com.
The binder is essentially a detailed record of a team’s progress throughout the duration of the project. In the binder should be kept things such as receipts, budgeting outlines, research, any printed out articles, documentation and justification of decisions, memos, agendas, prototype sketches, etc…
The binder is a good central keeping place for all materials, and a team will find it useful for an extensive project such as this. As the team near the end of the competition, it must write up a design report on the prototype design; this report was to be included in the team’s binder and the overall binder became a component of the judging criteria.
